NovaItservices ("we", "us", "our") operates the website novaitservices.co.uk and provides IT consultancy and delivery services. We are a UK-based sole trading practice, not a limited company. This policy explains what data we collect, why, and your rights under the UK GDPR and Data Protection Act 2018.

What we collect

  • Enquiry data: your name, email, optional company name, the service you're interested in, and the message you send through our contact form.
  • Account data (staff only): email and authentication credentials used to access the admin area.
  • Technical data: basic request information such as IP address and browser, used to keep the service secure and available.

How we use it

  • To reply to your enquiry and discuss potential work.
  • To deliver services you've engaged us for.
  • To keep records of correspondence and decisions.
  • To meet legal, accounting and tax obligations.

Our lawful bases are your consent (when you submit the contact form), performance of a contract (when we're delivering work), and legitimate interests (running and securing our practice).

Who we share it with

We don't sell your data. We share it only with trusted service providers that help us operate — for example our cloud hosting and database provider, and email delivery providers — and with HMRC or other authorities where the law requires.

How long we keep it

Enquiry messages are retained for up to 24 months unless they form part of an active engagement. Records relating to paid work are kept for at least 6 years to meet UK tax requirements.

Your rights

You can ask us to access, correct, delete or restrict your personal data, or to provide a copy. Email hello@novaitservices.co.uk. You also have the right to complain to the Information Commissioner's Office (ico.org.uk).
